RunSignup Supports USA Cycling Competitive Races

RunSignup continues to be the premier platform for cycling events, offering a comprehensive suite of free tools including websites, email marketing, and advanced race logistics. For 2026, our integration with USA Cycling has expanded to fully support competitive sanctioned events. This native integration streamlines compliance by handling waiver signatures and license verification directly within the RunSignup dashboard, while new automated reminders and self-serve tools ensure a seamless experience for both race directors and athletes.

USA Cycling Capabilities During RunSignup Registration

Let’s take a deep dive into how RunSignup supports USA Cycling Events by looking at the capabilities available to manage a USAC race:

USA Cycling Waiver Management: A growing number of cycling and gravel events use USA Cycling for insurance coverage. Part of a race director’s responsibility to comply with USA Cycling’s insurance requirements is to ensure participants acknowledge the USA Cycling waiver. Once enabled, RunSignup’s registration process will present the waiver to the participant and collect the electronic signature. The signature and signing date is then saved with the registration data and can be reported on if it is ever needed.

USA Cycling License Number Collection: RunSignup can host both competitive USA Cycling events as well as non-competitive rides. Athletes registering for competitive races will require a USA Cycling License by event day.  You can enable the collection of USA Cycling License numbers to occur during registration. We recommend enabling it, but making it not required at registration for cases where an athlete still needs to purchase a license directly from USA Cycling.

The license number is validated against a license list we receive from USA Cycling and then it is saved with the registration and can be reported on later. For USA Cycling non-categorized events such as fun rides that do not require a USA Cycling License, the user has the option to select “I am not a current USAC Member” and is presented with a link to learn more about the benefits of joining USA Cycling. This is a great way to introduce new athletes to USA Cycling to grow the sport. 

Of course for competitive USA Cycling events, a license will be required by race day. If the athlete selects “I am not a current USAC Member” – they will be reminded that a racing license is required by race day and directed to where they can purchase one. They can continue registration without a license at this time (if configured not to require it).

Let’s take a registration walkthrough…

During registration the USA Cycling License Number is captured along with the participants signature for the USA Cycling waiver.

RunSignup supports USAC Cycling waivers.

The USA Cycling License number is validated against a list of valid licenses RunSignup receives from USA Cycling. Note that validation is not a real-time synchronization with USA Cycling. (USA Cycling is working on that capability). Until then valid USA Cycling license data is refreshed in RunSignup at the end of day every Friday so may be up to 6 days old.

In the case where the event is a competitive event and you select “I am not a current USAC Member”, you will be given additional instructions that can be performed after registration.

The USA Cycling waiver is presented in an overlay screen, and the participant must view the waiver before they can sign. RunSignup takes care of all the required waivers for your event, keeping you in compliance.

And in the following case the system was configured just to present the waiver only.

USA Cycling Waiver Reporting

All of the USA Cycling related data that was collected during registration is stored securely and can be retrieved whenever it is needed. Race directors can customize the Participants Report (and save it) to display this data. Select the USAC columns for your report.

Race directors can further drill into an individual registration to view the exact waiver that they signed, time and date stamp as well as IP of registrant’s device.

License Validation Report

Hosting a USA Cycling competitive or category race will require athletes to have a valid USA Cycling racing license on race day. USA Cycling memberships and licenses can only be purchased directly from USA Cycling. In order to review what participants do not have the required license, use the specialized USAC License Report (available from Reports > show more > USAC License Report). 

This report quickly shows all athletes and the USA Cycling license number supplied at registration. Click the checkbox to filter the report further to show only athletes that do not have a license on file.

Race Director License Number Editing

Race directors can now edit USA Cycling license numbers directly from the USAC License Report without leaving the report page. This makes it fast and efficient to update or add license numbers for multiple athletes at once — ideal for handling last-minute license purchases, including on-site on race day. Note that License numbers edited via this report are not validated against the USA Cycling license. Since the USA Cycling license validation is not real-time, this gives race directors added flexibility to handle athletes making race day license purchases.  Simply press the Edit button on the USAC License Report for the athletes you want to change, then press Save.

Automated License Reminder Emails

To further assist with ensuring athletes have their USA License by race day, five days before the event date RunSignup will automatically send an email notification to every registered participant who does not have a valid USA Cycling racing license associated with their RunSignup registration. This gives athletes enough time to purchase or renew their license before race day, reducing last-minute issues at check-in. The email includes the event name, event date, and a direct link to purchase a USA Cycling membership and racing license at usacycling.org. A handy link in the notification email also directs athletes how to update their newly purchased license number on their RunSignup registration.

This automated reminder requires no action from the race director and applies to all USA Cycling sanctioned competitive events.

Participant Self-Serve License Number Update

Athletes who registered without a USA Cycling license number — or who need to correct one they entered during registration — can now update it themselves through the Participant Management screen. This self-serve screen is linked directly from the automated license reminder email, making it easy for participants to submit their license number as soon as they purchase it. The license number is validated against the USA Cycling license list when submitted, giving both the athlete and race director confidence that the license is on file and valid.

Athletes can access this screen by accessing their profile, selecting to Manage Registration, and then clicking on the USAC License menu.

How To Configure a Race with USA Cycling Registration Features

From the Race Dashboard in RunSignup go to Financial > Pricing > Memberships or simply search for “USA Cycling”. You can configure USA Cycling settings for all events or a specific event. Select “USA Cycling (USA Cycling) Membership. Enter your USA Cycling Sanction number (To learn more about USA Cycling Sanctioning and insurance benefits visit the USA Cycling Permitting page.

If this race is a sanctioned USA Cycling competitive race, check the box “Is USAC Sanctioned Competitive Race” You can customize the text that a user sees under Optional User Notice.

If you do not want to ask users for their USA Cycling License Number and only want to collect waiver signatures, check “Do Not Ask for Membership Information”

We recommend keeping “Require Additional Text Field Response” unchecked so that athletes can complete registration and purchase their license at a later time. This will maximize registrations.

Do not forget to press the Save Changes button.
