Most events communicate with participants through several different channels. There may be a standalone event website, a separate registration page, and a series of emails sent to participants. Now, as events begin adding AI chatbots for customer service, there can be a fourth place where information must be maintained.

That creates four potential sources of truth—and four opportunities for the information to be inconsistent or outdated.

Consider how many questions depend on accurate, current information:

  • What is the registration price today?
  • When does the price increase?

That can be useful, but it has an important limitation: the chatbot only knows what was included in the content it was given when it was given the information. It may not know that a price changed yesterday, that packet pickup moved to a new location, or that a participant has already registered.

It also cannot reliably answer personal questions such as:

  • Am I registered?
  • Which event did I register for?
  • What is my bib number?
  • Did I purchase a shirt?
  • Can I still transfer my registration?

Answering those questions requires access to real-time information from the actual event database.

AI Connected to the Real Data
