Webinar Overview
This webinar provides an overview of recent updates to the RaceDay CheckIn App, along with a refresher on setup, configurations, syncing, and best practices for packet pickup and race day. The session highlights new features designed to improve efficiency, simplify participant and volunteer check-in, and give race organizers more control over how staff and volunteers use the app.
App Setup & Configurations
The webinar reviews the importance of properly configuring the CheckIn App before an event. Organizers must enable check-in through the RunSignup dashboard, set a password, and establish the dates when the race will be available in the app.
Two key customization tools are covered:
Presets: Control how check-in works for individual events, including bib assignment, waivers, participant information, and required steps.
Configurations: Determine how devices operate for different users, such as volunteers, staff, and administrators.
The app automatically syncs participant information approximately every 30 seconds and supports offline check-in. However, features such as volunteer tracking and medical check-in require an active connection.
New Features & Updates
Several updates have been introduced to improve the CheckIn App experience:
Password-Protected Configurations: Organizers can protect configurations with a four-digit PIN, restrict access to administrative functions, lock device settings, and create default configurations for volunteers.
Bib Number Scanning: The app can now recognize printed bib numbers using a device’s camera. QR codes remain the fastest and most accurate method, while manual entry is available as a backup.
Improved Label Printing: Organizers can print multiple customized labels per participant, include QR codes linking to results, and configure automatic printing by event.
Enhanced Group Check-In: Staff can move between related registrations, skip participants, return to previous records, and view group check-in progress more easily.
Volunteer Check-In and Checkout: Volunteers can now be checked in and out, allowing organizers to track hours worked and export volunteer data.
Bulk Reset Check-Ins: Administrators can reset participant check-in statuses and optionally clear bib assignments. This feature is intended for specific situations, such as multi-event series, and should be restricted to authorized staff.
Additional Improvements: Faster syncing, support for age-based waivers, customizable participant information displays, improved navigation, and clearer warnings about unsaved changes.
Best Practices for Race Day
The webinar emphasizes preparing and testing the app before packet pickup begins. Organizers should ensure that all devices are updated, uniquely named, and configured with the appropriate permissions.
Additional recommendations include testing the complete check-in process, enabling bib validation, verifying printer connections, providing registration QR codes to participants, and planning for unreliable internet access.
For events using multiple volunteers, the presenters recommend creating a simple default configuration for everyday check-in and a separate, PIN-protected administrative configuration for more advanced actions.
Additional Considerations
During the Q&A, the presenters clarify that the CheckIn App can support medical tent check-in and checkout, but should not be used to collect or store sensitive medical information. The app is not designed as a HIPAA-compliant medical records system.
The webinar also notes that registration-related merchandise fulfillment is supported, while standalone store orders still require a separate web-based workflow.
Key Takeaways
The latest RaceDay CheckIn App updates focus on greater flexibility, improved security, and a smoother check-in experience for participants, volunteers, and race staff.
Features such as protected configurations, expanded bib assignment options, improved label printing, group check-in enhancements, and volunteer hour tracking help organizers manage packet pickup more efficiently.
The biggest recommendation is to configure, test, and familiarize staff with the app before race day. Proper preparation, clear volunteer permissions, and reliable syncing help minimize check-in issues and create a better participant experience.
