Club Member Numbers

We have (finally!) made an often repeated request to enable clubs to use specific member numbers that do not change each year. We have given a ton of options, as there seem to be a lot of different ways each club wants to administer their member numbers. Combined with some report restructuring and the new look and feel of the club director dashboard, this is a major release of functionality that we hope will be the talk of the RRCA Annual conference this week!

Assigning Member Numbers to New and Renewing Members:
The key feature is the ability to set a Member Number. There are a variety of options including:

  • Automated settings the RunSignup provides as member join the club
    • Sequential numbers (like 1001, 1002, 1003)
    • Random numbers
    • Random alphabetical characters (no vowels)
    • Random Alpha-numeric
    • You can set the character length on all of these
  • Custom Pool of Member numbers that you can upload into the system and we will assign as new members join
  • Assign numbers to existing members automatically.

Note existing members are not automatically assigned numbers (we will cover how to assign them below.

Member and Membership Report
The Member and Membership reports have been updated with this new information. Remember Members are individual Membership can be one or more members – typically this is for “Family Memberships”. Here is the new Member Report:

Existing Member Assignment
To assign existing members a unique number, use the Import tool or click on each membership and edit individually. The individual edit is done by clicking the Membership ID (left column in the above reports) and then clicking the edit icon:Screen Shot 2018-04-04 at 5.46.29 PM.png

The Import tool is useful for bulk entry. You will need the RunSignup Membership Number and User ID, and then you will enter your own unique Member Number in a CSV file:

The simplest way to get those numbers is to go to the Member Report and do a CSV Download. It will look like this (once you fill in Column B with the Member No):

Simply import that file and all the numbers will be assigned.

Club Member Cards
Club members can see their club card in their Profile on RunSignup. They just need to login, go to the Profile and click on “My Clubs”. They will see a list:

Advanced Member Number Assignment
If you have your own unique method of creating new member codes, you can also upload them in the “Custom Pool”:Screen Shot 2018-04-04 at 3.42.19 PM.png

Once uploaded, they will be automatically assigned in the order you entered them. We will also automatically notify you when you are running short of codes to be assigned.

Summary
The biggest benefit of this new changes is that members will be able to keep their member number year after year. And clubs that are transitioning to RunSignup can keep their member numbers.
