About EventPower

EventPower is Long Island’s premier multi-sport company with Sprint, Olympic, and Half Iron distance triathlons, duathlons, and running events. EventPower produces 12 events a year, with a unique focus on the athlete experience. They give 100% to providing participants an exceptional experience from the registration process to viewing post-race photos and results.

Unique Logistics of a Triathlon

Triathlons present a range of logistical challenges from registration to event execution. With multiple staging areas, a governing body to comply with, weather uncertainty, and safety concerns, triathlon race directors like Vicki Ventura from EventPower need technology solutions that make their job easier.

USAT Integration

USA Triathlon (USAT) has specific requirements for event memberships, and compliance is crucial for events to stay in good standing.

RunSignup’s integration with USAT Memberships makes it simple for EventPower to ascertain a participant’s status during registration and gives them the option to purchase or renew a membership while they complete the registration. For participants who purchase a membership or renew one, the membership fee is automatically sent to USAT – no additional work for the race director. Additionally, all participants who are purchasing or renewing a membership are automatically directed to the USAT waiver.

For EventPower, this means no post-race follow-up to settle membership fees with USAT and no gaps in the waiver-signing process. The USAT Reports available on each RunSignup race dashboard make it simple to access all waiver and membership data.

Email Communications

While EventPower does use RunSignup’s Email V2 to promote upcoming events, the real impact of email for them is the ability to easily communicate with participants about key race information. They email participants the water temperature the day before the event to ensure that they can prepare and pack the appropriate wetsuits and other items they may need.

“RunSignup email is helpful to target participants based on the event that they signed up for, and to know that they are current participants. We have used other [email] platforms in the past, but with this way we are targeting the correct audience for each event.

Participant safety is our number one priority, and being able to send out updates with any course changes or weather updates is a key element to race day safety. Being able to use the features and functions from a phone at the beach is a huge plus!”

Post-Race Experience

EventPower’s goal of creating amazing experiences for their athletes doesn’t stop when they cross the finish line. They activate several tools from the RaceDay Suite to extend the positive vibes out past the end of the event.

Photo Platform

Following the end of an event, their event photographer uploads hundreds (or thousands) to RunSignup’s Photo Platform. Then, EventPower engages volunteers to review the automatic photo tags within a day to maximize accuracy. With photos organized into albums and tagged by participant, it’s easy for participants to relive their glory and share their success with friends and family.

Results

EventPower uses the RunSignup Results Platform to share the final results of the event.These results offer participants more than just a final placement: their results give a clear breakdown of their performance, including splits for each leg and all transitions. Just like including photos for their participants, EventPower sees these comprehensive results as another way to celebrate and respect the hard work of their participants.

“Participants train for months to participant in an event. For some people, it is a life goal to complete a triathlon. We want to provide them with all the details/breakdown of how they performed so they can check it out and compare it for future years or see what they want to focus on training-wise. Additionally, triathletes are competitive in nature. They want to see how they placed amongst their competitors, friends, and training buddies. Detailed timing breakdowns are part of the fun after the race.”
