Race Insurance vs Participant Insurance: What Every Race Director Needs to Know

You’ve secured your permits, mapped your course, lined up your volunteers, and opened registration. But have you thought carefully about insurance? Most race directors know they need some kind of coverage — but there’s a crucial distinction that often gets overlooked: race insurance and participant insurance are two entirely different products that serve entirely different purposes. Understanding both can protect your event, your bottom line, and your runners.

What is Race Insurance?

Race insurance — more formally called event liability insurance — is purchased by the race director or organizing body to protect the event itself. It covers the organization against claims of negligence, bodily injury, or property damage that arise from conducting the event. Think of it as the race’s shield: if a participant slips on a poorly marked course and sues the race, this is the coverage that steps in to handle defense costs and damages.

Race insurance generally does not reimburse individual participants if they can’t show up. That’s a separate product entirely (more on that below).

Here are the major options for race directors seeking event liability coverage:

RRCA — Road Runners Club of America

The RRCA is the oldest and largest distance running organization in the United States, and its insurance program is one of the most widely used in the industry. Coverage is tied to RRCA membership, and rates are among the most affordable available.

2025 pricing highlights for a $1 million policy:

  • 200 or fewer participants: flat fee of $104
  • 201–500 participants: flat fee of $160
  • 501–999 participants: $0.50 per participant
  • 1,000–1,999 participants: $0.45 per participant
  • 2,000–3,000 participants: $0.37 per participant

The RRCA policy covers road races, trail runs, ultramarathons, cross country meets, track events, theme runs, and club-organized training programs. It protects the event organization, race directors, volunteers, and race officials against covered claims. Notably, USATF is a permanent additional insured on the RRCA policy — meaning events insured through RRCA can often waive USATF insurance fees if they also obtain a USATF sanction.

Best for: Running clubs and event organizations that own and direct their own races and want an affordable, membership-based program with broad community support.

USATF — USA Track & Field

USATF offers event liability insurance as part of its event sanctioning program. A USATF sanction is an official designation that approves and licenses competitive track & field, road running, and race walking events in the United States — and liability coverage comes bundled with it.

Coverage highlights:

  • $2 million per occurrence in general liability
  • $10 million aggregate event cap
  • Covers event organizers, sponsors, participants, volunteers, and facilities
  • Separate volunteer medical coverage available starting at $20/person
  • Sanctioning fees start at $60 for events with up to 100 participants

USATF also offers an Event Directors Program for race directors who want coverage outside of sanctioned events, providing general liability, auto liability, and physical damage coverage for day-to-day business operations.

Best for: Competitive road races, track & field meets, and events seeking the prestige and records eligibility that come with an official USATF sanction.

RaceInsure

RaceInsure is an online insurance platform built specifically for race directors that offers same-day event liability coverage — no membership required. Created by race directors for race directors, it was designed to fill a gap in the market: most standard event liability policies specifically exclude participant liability, leaving race owners exposed if a runner is injured and sues. RaceInsure builds participant liability coverage directly into its policies, backed by Tokio Marine, one of the world’s largest insurance carriers.

Key features:

  • Participant liability coverage included (not an add-on)
  • Instant certificates of insurance (COIs) available 24/7
  • No membership required — purchase per race, per season
  • Self-service COI generation for venues and municipalities
  • Same-day coverage available

Best for: Race directors who need quick, no-membership coverage with strong participant liability built in, or those insuring one-off or infrequently held events.

Running USA

Running USA partners with the Nicholas Hill Group, a specialized insurance broker, to offer event coverage to the running community. Running USA members receive a discount on policies, and the program allows race directors to submit multiple events in a single application.

Pricing highlights:

  • General liability with a $1 million policy starts at $0.15–$0.25 per participant (minimum $75)
  • Participant medical accident coverage available at $0.10/participant
  • Optional add-ons: equipment coverage, liquor liability, business/office coverage
  • Event cancellation insurance available at a 10% discount for Running USA members

Unlike the RRCA or USATF umbrella programs, this is an individual policy for your specific race — not a master policy that your event joins. That distinction can matter when it comes to flexibility and portability.

Best for: Race directors who want flexible, broker-supported coverage with the option to bundle multiple events and add-on coverages in one application.

What is Participant Insurance?

Participant insurance — also called registration protection — is an entirely different product purchased by individual runners, not by the race organizer. It protects the participant’s financial investment in their race entry if they’re unable to attend due to a covered reason like illness, injury, or a family emergency.

RegShield by Protecht (Available via RunSignup)

RegShield, a product by Protecht (FanShield), is the leading participant registration protection option available to races using the RunSignup platform. It’s an opt-in product: race directors enable it on their event, and participants choose whether to purchase it during checkout. The race pays nothing — it’s entirely participant-funded, and races actually earn revenue through a built-in revenue share.

RegShield is not event cancellation insurance. It reimburses the participant if they can’t make it to the event — not if the event itself is canceled by the organizer.

RegShield FAQ: How Does It Work?

For Race Directors

Q: How do I enable RegShield for my event? A: If your event is on RunSignup, search for “Insurance” on your race dashboard and toggle it on. You can enable it for all events or just specific ones.

Q: Does it cost anything to offer RegShield? A: No. There is zero cost or investment for the race to offer RegShield. In fact, your event earns a 20% revenue share on all insurance premiums purchased by participants, paid after the event concludes.

Q: Do I have to handle refunds if a participant files a claim? A: No. That’s one of the biggest benefits. All claim interactions, refund processing, and customer service go directly through Protecht/FanShield. The race is entirely hands-off once it’s enabled.

Q: How many participants typically buy it? A: RunSignup has seen opt-in rates ranging from 5% to 39%, with higher rates at events with higher registration fees. As a general benchmark, 10–20% participation is common.

For Participants

Q: What does RegShield cover? A: RegShield reimburses your registration fee if you’re unable to attend due to a covered reason, including:

  • Serious illness or injury (to you or an immediate family member)
  • Death of an immediate family member
  • Vehicle breakdown or traffic accident
  • Severe weather that prevents travel to the event
  • Job loss / layoff
  • Active military duty
  • Jury duty
  • A positive COVID-19 test requiring self-isolation

Q: What does it NOT cover? A: RegShield does not cover general personal conflicts, scheduling changes, or simply changing your mind. It also does not cover event cancellation by the race organizer — only your inability to attend. The coverage is conditional: the covered reason must actually prevent you from getting to and participating in the event.

Q: How much does it cost? A: The cost is calculated as a percentage of your registration fee:

  • Registrations up to $24.99: flat fee of $2.99
  • Registrations from $25.00–$49.23: flat fee of $3.99
  • Registrations above $49.23: 8.1% of the registration + processing fees

Q: When can I purchase it? A: Only at the time of registration checkout. You cannot add coverage after your registration is complete. During checkout, you’ll see an option to add or decline coverage — you must select one to proceed.

Q: How do I file a claim? A: Claims are filed directly with Protecht/FanShield — not with the race. You can file by clicking “File A Refund Request” in your RegShield confirmation email, or by visiting FanShield.com. Supporting documentation is required (e.g., a doctor’s note for illness/injury). You can also contact them at 1-844-849-4827 Ext. 1 or help@fanshield.com.

Q: Does coverage transfer if I transfer my registration to another runner? A: No. RegShield coverage is tied to the individual registrant and does not transfer when a registration is gifted or sold to another participant.

Q: Will I know if I’m covered? A: Yes. After registering, you’ll receive two separate confirmation emails: one from RunSignup for your registration and one from Protecht/RegShield with your policy number and coverage details. The RegShield email typically arrives about 30 minutes after your RunSignup confirmation.

The Bottom Line

Race insurance and participant insurance are complementary — not interchangeable. A well-protected event has both.

As a race director, your event liability policy (through RRCA, USATF, RaceInsure, or Running USA/Nicholas Hill) protects your organization from the financial and legal fallout of something going wrong on race day. RegShield protects your runners from losing their entry fee when life gets in the way.

Think of it this way: race insurance keeps your event running for years to come. Participant insurance keeps your runners coming back.
